Change automated e-mails

E-mails



Pluvo sends emails to your users, and you can customise them. Pluvo distinguishes between three different types of emails: a general invitation, an invitation for a learning journey, and a notification.

In all of these emails, you can use dynamic content, which is already available in the fields by default. You can insert such dynamic pieces of content, like the user's name, in the salutation. The recipient's name will then automatically appear in the greeting.

Examples of dynamic content you can use are:
{{name}}, this automatically adjusts to the user's name.
{{org_url}}, this will fill in the link to your academy.
{{org_name}}, this will fill in the name of your organisation.

You can change your organisation's name in the management section under 'organisation'.

The fields that can be customised in the emails are:

Language
You can set our email templates in different languages. Click on a language in the dropdown field to edit that template. When creating users, you already specified which language the user should see the interface in. For example, if you created a user and selected English as the interface language, the English invitation will be sent automatically.

Subject
What is the subject of your email? Provide a brief and clear subject here.

Salutation
Personally address the recipient of your email by using dynamic content here #. The user's name will automatically be inserted.

Body
This is the main content of your email. Here, you can share your message. You can also use HTML. For example, use < br > to create line breaks in your text.

Button Text
You can also customise the text of the button in your email. For instance, 'Go to the academy' or 'Create your password!'.

Footer
These are the small print at the bottom of the email. By default, it contains a note that the link in the email is temporarily valid.

Academy: Invitation


The general invitation is the email a user receives when you invite them to your training platform. When they click the link, they can create a password and view the training environment. This person does not need to be linked to a training yet. You can customise the salutation, body text, and button text here. When you click 'save template', you can preview how it will appear in the email.

Learning Journey: Invitation


This is the email a person receives when you invite them to a learning journey. In addition to the salutation, body text, and button text, you can also customise the subject here. The introduction text of your learning journey, as shown in the template, is based on the introduction text you provide for your learning journey.

Certificate Notification


You can customise the email your learners receive with the certificate to match your own style. This can be done under the 'Certificate notification' button. Your learners will receive a link to the certificate, accompanied by your custom text.

Learning Journey: Condition Reached


The 'Module Notification' is an email sent when a group condition within a learning journey is met. For example, after completing a course module or on a specific date when you attach a location.

Registrations


For registrations, we use various notification emails:
Registered, pending, waitlisted, and deregistered are used to inform users of their registration status.
Present, absent are used to inform users of their attendance status at meetings.
Time changed and cancelled are sent when you change or cancel a meeting.
Message is the accompanying email when you send a personalised message to registrants of a meeting.

Chat Notification


This email is sent when the user has unread chat messages. The user can choose whether and how often they wish to receive these notifications.
