Compliant with skill management

What is skill management?

The skills matrix gives you an instant overview of:

Who possesses which skills.
Which skills still need to be developed.
Whether there are any gaps in the team or organisation.
Which certificates are due to expire soon.

Pluvo’s skill management works with certificates. You define for each skill which certificates are required to meet compliance rules. This way, you can quickly see which certificates someone still needs to fully master a skill.

Creating skills

You can create skills via the skills management (admin > skills). Click on + New skill.

Give the skill a clear name and abbreviation. These will later appear in the skills matrix – the overview of achieved and missing skills. Also add a short description explaining what the skill represents. For example:

Optionally, you can add an image so the skill is easily recognisable in the overview.

Under the groups tab, you can specify which user groups are required to achieve this skill. This ensures the skill appears in the user’s portfolio, and you can filter by compliant groups in the skills matrix.

In the certificates tab, add one or more certificates that a user must obtain to demonstrate they have achieved the skill. These certificates must first be created via admin > certificates.

Viewing skills with the skills matrix

The skills matrix (via admin > skills matrix) provides a clear overview of which employees have which skills – and which they are still missing.

Skills are shown with their abbreviation. Hover over an abbreviation to see the full name of the skill. The coloured dots indicate the skill status:

Green: the user holds all required certificates for this skill.
Orange: one or more required certificates will expire within two months.
Pizza slice: the user holds some of the required certificates.
Grey with a dark grey border: the user is required to achieve this skill but has no (valid) certificates yet.
Grey without a dark grey border: the user holds no (valid) certificates for this skill, but the skill is not required for them.

Click on a dot next to a skill to see more details, such as required and obtained certificates and their expiry dates.

Use the search bar to look up specific users. The filter options are useful to narrow down the results. You can filter by:

Skill profiles: choose one or more user groups. The matrix will then show only the skills required within these group(s).
Skills: select one or more skills to display.
Users from group: choose one or more user groups. The matrix will then show only users from those groups.
Custom categories: you can also filter by your own user categories created via admin > categories. Think, for example, of a specific division, department, or location.

How to issue certificates

Users can receive their certificates in multiple ways. Certificates can be issued via a learning journey, offer, or meeting. You can read how to do this in our other articles:

Issuing a certificate from a learning journey (manually or automatically).
Issuing certificates from an offer page.
Issuing certificates from a meeting.

Certificates can also be issued directly from the skills matrix. Find the user and click on the dot next to the relevant skill. In the detail view, you can see which certificates are required and which have not yet been obtained/are no longer valid:

Select the title of the certificate you want to issue and issue it using the plus button:

The data in the skills matrix will be updated accordingly.

Skills can also be found in a user's portfolio

Every user in Pluvo has their own portfolio. The user and admins can view the user's ‘skill profile’ here. It shows all skills required by the user and their current status. Only the skills assigned to the user are shown here (assignment is based on the user group they belong to – see the explanation in the skills creation section).

You can also click on the various skills here to view the required certificates and issue certificates.
