Creating meetings

From the Plus (formerly Team) plan onwards, Pluvo allows you to create registration pages for your physical and online meetings. This makes it easy to combine your online training with live sessions.


How to create a registration page

On the homepage of your academy, you’ll find a +New button in the top right corner. Click it and choose meeting.



A window will immediately slide out, allowing you to create your meeting.


Are you creating a physical meeting on location? And will that location be used more often for physical meetings? Then it’s useful to first add the location to your academy so you can easily select it in the future. Go to management > settings > locations and fill in the fields.


Step 1: Give your meeting a title and add a description so potential participants know what to expect. Don’t forget to add an image that will appear in the overview of all meetings (ideal dimensions: 400px x 150px).


Step 2: You can now add the date and location of your meeting.


  • For a physical event: You’ve hopefully already created your location via management > settings > location, so you can simply select it from the dropdown list. By selecting from this list, a map can later be displayed for participants—handy for planning their trip. You can, of course, make your meeting hybrid by adding both a webinar link and a location. If people can’t attend in person, they can still join online.


  • For an online meeting: Is your meeting fully online? Then leave the location field empty, but add a webinar link.


From the Complete plan onwards, you can automatically generate Teams links and link them to your calendar. It’s even possible to check if training or meeting locations are available when organising classroom sessions. Want to enable this integration? Contact us!


Step 3: Optionally, you can add another date if you want participants to register for a series of dates. A participant will automatically be signed up for all dates you create. If you don’t want that, create a separate meeting page for the other date.


You can also add one or more trainers per session. Participants can see who the trainer is and even start a chat:



Later, you can indicate which participants were present or absent per session:



Step 4: Under access conditions, you can specify which user groups are allowed to register. Click the plus icon next to access for groups and tick all user groups that should be able to register. A user must be a member of at least one of these groups.


Do you want a user to be a member of multiple groups before they can register? Then click the plus icon again under access for groups.



Click the three dots next to the access conditions to edit or remove user groups, or to set a minimum and maximum number of registrations per user group:



Step 5: Under registration options, you can set overarching settings that apply to the entire series of dates. For example, add a description for registered participants. This text replaces the description for potential participants. You can also add a minimum and maximum number of participants for the entire series and specify until when participants can register. Additionally, you’ll find the following sliders:


  • Access requires approval: Tick this if potential participants can only be registered after approval by the trainer.
  • Show participant list to (unregistered) users: Tick this if (unregistered) users should be able to see who else has registered.
  • Waiting list: When you’ve set a maximum number of participants, users can be placed on a waiting list if the meeting is already full. If someone deregisters, the next participant on the waiting list will automatically be registered.



Step 6: If your meeting should already be visible to participants, keep the publish option checked. Save, and your meeting will be created and visible to participants!


That’s it for the basic settings. You’ve probably noticed that you can click on more settings to open a range of additional options.


More settings


Categories: Here you’ll find extra fields you’ve created via management > settings > categories. Read more about the use of categories here.


Trainer: Here you can set a trainer to be shown to the participants of the meeting. This way, participants can easily contact them with any questions. Note: you can only add users who have the general role of trainer in their profile.


Certificate: Choose a certificate to be awarded after successfully completing the meeting. The points earned with this certificate are displayed in the meeting header.


Learning journeys: Here you can link a learning journey to a registration and grant participants access to the learning materials after registration. Don’t want to link a learning journey? Then leave this field empty.


Course modules: Participants will automatically gain access to the course module(s) you select here after registration.


SCORM: Participants will automatically gain access to the SCORM files you add here after registration.


Videos: Participants will automatically gain access to the videos you add here after registration.


Filtering meetings


Do you have many meetings? Then filtering can be useful—for example, to see which meetings are full, which still have no registrations, or to only view the meetings where you’re a trainer. Go to your meetings page and open it in list view.



Then you can use the filters.



Viewing registrations


On the detail page of your meetings, you can see who has registered. Want a more detailed overview of all registrations across all meetings? Then go to the registrations page via management > users > registrations. Note that you can filter the registration list based on user categories.



Reports of the offers


Under reports, you’ll find several tabs. Under the Offers and Meetings tab, you’ll see the progress of all online material linked to the offer item or meetings.
